Xcruiter

A multi-tenant recruitment platform for a Norwegian client. We took it over from a previous developer in 2023, rebuilt the parts that needed it, and have shipped features on the same codebase since.

01 · The context

A live platform, inherited mid-flight.

Xcruiter came to us in 2023 already running: a recruitment platform with real customers, built by someone else, at the point where the original developer moved on. Taking over a live codebase you didn’t write is its own discipline. The first job is not to add features. It’s to understand what you have, stabilise it, and earn the right to change it.

We read the code before we touched it. Where the foundations were sound, we kept them. Where they were going to cost the client every month, we rebuilt them. We build to the client’s Figma, so the design is theirs; the engineering is ours.

02 · The work

Rebuild the foundations, then ship.

  1. Understand before touching. We mapped the domain and the data model, wrote down how the pipeline actually worked, and fixed the parts quietly leaking time before adding anything new.
  2. Multi-tenant, done properly. Each organisation manages its own jobs, candidates and permissions in isolation. Role-based access and email / SMS two-factor sit underneath it.
  3. The candidate pipeline. Leads move through a kanban pipeline from application to hire, with the activity, messages and feedback for each stage in one place.
  4. Integrations that don’t rot. Two-way sync with the ATS systems the client’s market runs on (Recman, Teamtailor, ReachMee, Next, Webcruiter), each behind its own adapter, so one vendor’s API drift is one file, not a firefight.
  5. New features on top. Assessments, recommended next actions, and a client-facing portal where recruiters and their clients stay aligned in real time, all built into the same Laravel + Vue app rather than bolted on.

03 · The long haul

Same hands since 2023.

What happens after a takeover is the part that matters: we kept showing up. Same codebase, same hands, picking up the next ticket in the same queue. Laravel and Vue kept current, migrations scoped and scheduled, not run as emergencies.

What we delivered

  • Takeover and stabilisation of a live recruitment platform.
  • Rebuilt multi-tenant foundations with role-based access and 2FA.
  • Candidate kanban pipeline with per-stage activity and messaging.
  • Two-way ATS integrations (Recman, Teamtailor, ReachMee, Next, Webcruiter).
  • Assessments, recommended actions, and a real-time client portal.
01

The pipeline is the product

Candidates move from application to hire on a kanban board, dragged between stages, each card carrying its screening progress and its attached CV. Everything that happened to that candidate - the activity, the messages, the feedback left at each stage - stays attached to the card instead of scattering across four inboxes and a spreadsheet.

A portal the client logs into, not an email they wait for

Recruiters and the companies hiring through them work in the same place. The portal opens on new applications, open roles and the jobs in flight, with posting a role, building a career page or boosting an ad one click away. Clients stop asking for a status update, because the status is already the first thing on the screen.

Assessments and next actions, built in

Reference checks collected over email or SMS, personality assessments, structured follow-up questions - surfaced as recommended next actions at the point in the pipeline where they actually make sense, rather than buried in a settings page nobody opens. All of it inside the same Laravel and Vue application, not a second system stitched to the side of the first.
